PURPOSE OF POSITION: This role functions as an integral part of the administrative team at Cheyenne OBGYN. The applicant will demonstrate strong communication skills and acquire comprehensive knowledge of the clinic's workflow. This position adeptly supports patients, providers, staff members, and the executive director, ensuring that all personnel can effectively perform their duties.

DIRECT SUPERVISOR: Executive Director or designated individual

SUPERVISION EXERCISED: None.

TYPICAL PHYSICAL DEMANDS: Requires prolonged standing or sitting. Involves frequent bending, stooping, or stretching. May involve lifting up to 25 pounds. Requires hand-eye coordination and manual dexterity. Involves the use of office equipment, including computer terminals, telephones, fax machines, and photocopiers. Requires normal vision and color perception. Requires hearing within the normal acuity range. Involves working quickly under high stress conditions.

TYPICAL WORKING CONDITIONS: Exposure to communicable diseases, toxic substances, medicinal preparations and other conditions common to the clinic environment. Work may be stressful at times. Interaction with others is constant and interruptive.

Responsibilities and Duties

  • Demonstrate excellent interpersonal skills in welcoming and checking patients in and out, acquiring accurate financial, insurance, and demographic information, including completing necessary paperwork.
  • Processing and scheduling referrals.
  • Answer telephone inquiries and schedule appointments, ensuring timely patient access to services. Confirm appointments in advance when necessary.
  • Maintain multiple provider schedules efficiently.
  • Foster effective working relationships with physicians, management, reception team, nursing team, business office team, and other staff.
  • Promote a cooperative and pleasant work environment.
  • Provide general clerical support, including filing, scanning, and coordinating the release of medical records.
  • Maintain strict confidentiality at all times.
  • Participate in ongoing customer service training.
  • Perform additional duties as assigned.

Qualifications and Skills

PERFORMANCE REQUIREMENTS:

Knowledge of medical office procedures and health care administration principles

Ability to stay calm during emergencies.

Proficiency in gathering, analyzing, and interpreting information.

  • Strong written and verbal communication skills.
  • Basic computer skills.
  • Capability in quality improvement.
  • Initiative, problem-solving, and decision-making skills.
  • Effective collaboration with patients, physicians, and staff.
  • Problem identification and solution recommendation.
  • Prioritization and coordination of activities.

EDUCATION: Equivalent to a high school diploma. Associate degree or higher preferred.

EXPERIENCE: Two to four years in a medical office setting preferred. Knowledge of medical terminology, word processing and/or computer experience required.

Job Type: Full-time
